Roundtable Event Production

An end-to-end production service for a single half-day or one-day roundtable of up to forty attendees. Covers venue scouting and contracting, agenda design, speaker liaison, run-of-show, on-site coordination by a producer, and a post-event recap pack. Designed for in-house teams hosting a focused industry conversation without standing up an internal events function.

Conference Agenda Design Engagement

A consulting engagement for organizations producing a multi-day conference internally and wanting external help shaping the programme. Output includes a structured agenda with track logic, session-format suggestions, a speaker shortlist memo, run-of-show templates, and two review rounds. Delivered over four to six weeks alongside the client's internal team.

A focused module covering speaker outreach, briefing-pack production, rehearsal coordination, and on-site support for an existing event. Section 02 — Why Conclave

We work only with legal industry clients in Hong Kong and the surrounding region, and we hold the agenda as the central artefact of the event.

How early should we book a producer for a one-day roundtable? +
Eight to ten weeks is comfortable for a forty-attendee roundtable in Hong Kong. Six is workable if the venue is already secured. Anything tighter, we'll be candid on the call about what we can hold to.
Do you write the substantive content of the sessions? +
No. Substantive content stays with you and your speakers. We design the session formats, frame the questions, write the briefing packs, and chair rehearsals. The room of legal expertise is yours.
Can you work with our preferred venue? +
Yes. If you have a venue already contracted, we run the production inside that venue's constraints. If venue selection is open, we shortlist three options with a written comparison memo on rates, room shapes, and AV.
Is the listed fee inclusive of venue and catering costs? +
No. The engagement fee covers Conclave's production work. Venue, catering, AV, and any speaker honoraria are passed through at cost on a separate budget line, with quotes for your approval before booking.
Do you handle bilingual programmes (English and Cantonese / Mandarin)? +
For Hong Kong programmes, we routinely arrange simultaneous interpretation between English, Cantonese, and Mandarin via vetted local providers. Programme materials can be produced in matching language pairs on request.
Will attendee personal data be handled securely? +
Attendee lists are held only for the duration of the event and the recap pack. We follow Hong Kong PDPO principles, sign confidentiality undertakings on request, and do not retain delegate contact data for marketing afterwards.
What if a speaker drops out two days before? +
It happens. We maintain a shortlist of substitutes per session, written into the run-of-show. The producer makes the calls; you approve the replacement. The agenda holds.
